Privacy Notice
This notice covers the xTrekka website, the guide portal, and the client portal, operated from Kuleshwor, Kathmandu, Nepal. It sits alongside the terms of use. To ask about your information, email info@xtrekka.com.
1. Trekkers
When you send an enquiry we store:
- your name, email, phone if you gave one, and your message;
- party size, dates, and the trek you picked, if you picked one;
- a one-way hash of the network address the form was sent from, used only to limit how many enquiries one address can send in an hour. We do not keep the address itself.
Sending the enquiry creates a client account for that email, or attaches the enquiry to the account the email already belongs to. The account has no password. A sign-in link is emailed when you ask for one, and the link can be used once.
If you later upload a passport scan, insurance, or an emergency contact, those stay private to you and to xTrekka operations. A guide sees them only if you explicitly share them with that guide, and only a guide you have enquired with. You can withdraw the share.
A review you leave may be published with your first name and last initial. The rest of the review, including anything you say about xTrekka, is not published.
2. Guides
A guide application stores the profile you submit and the licence and citizenship documents you upload. Those documents are private. The public profile shows what you chose to publish โ name, photo, bio, languages, seasons, day rate, and the treks you lead โ and only after an operator has verified you. Enquiry messages sent to you are visible to you and to xTrekka operations.
3. Bookings paid on xTrekka
If you pay through checkout, the card payment is taken by Stripe. We store the booking, the amount, and a reference to the payment. We do not store your card number.
4. Why we keep it
- to deliver the enquiry to the guide and to you;
- to run your account and the sign-in links;
- to review licences and moderate reviews;
- to rank guides on reply rate, from the enquiries they were sent;
- to record check-ins and SOS alerts on treks booked through xTrekka;
- to keep a record of emails we sent, including whether they went out.
We do not sell personal information. We do not use it to advertise third-party products to you.
5. Who else handles it
Email is sent through our mail provider. Payments on checkout go through Stripe. Files you upload are stored in a private file store and are served back only through xTrekka, to someone allowed to see them. Each provider handles the information only to do that job.
6. How long
Enquiry and booking records are kept as the record of what was introduced and, where we took a payment, what was paid. You can ask us to delete an account that has no booking and no unresolved enquiry. A record we are keeping because money moved, or because a review was published, stays in the form the terms describe.
7. Asking us
Email info@xtrekka.com to see what we hold, to correct it, or to ask for deletion. We will answer the address on the account.
